MEMBERSHIP MANAGER

POSITION OVERVIEW

HH&G seeks an outgoing, reliable individual to join our Development team. The Membership Manager will be responsible for processing, recording, acknowledging, and reporting on memberships and donations received by Highfield Hall & Gardens, in a timely, accurate, and donor-centric manner.  The Membership Manager will develop and coordinate monthly “New Member” welcome events and quarterly Member Exhibition Preview Events.  The position requires a detail-oriented people-person who is comfortable with data, capable of multi-tasking, and able to set and communicate priorities and meet deadlines.  Fundraising database experience is helpful with a preference for experience in using Blackbaud/Altru, or The Raiser's Edge.  Proficient with Microsoft Suite, Publisher, and PowerPoint.  This position will work closely with the Development Director.

Part-time, 20-30 hours a week. Potential for full time.

RESPONSIBILITIES:

  • Timely data entry of gifts in the database, including checks, credit cards, online gifts, gifts of stock, and monies associated with membership and fundraising events.
  • Processing all gift acknowledgement letters in a timely manner, including letters signed by the Executive Director, Director of Development, and/or other staff/board.
  • Working closely with the Director of Development to ensure accuracy of donor/member correspondence.
  • Create and run queries as needed for reports, mailing lists, and development initiatives.
  • Working with DOD to make necessary changes and "refresh" donor acknowledgement letter copy as needed throughout the year.
  • Sending tribute cards for honor/memorial gifts.
  • Develop and coordinate monthly new member welcome events and quarterly member preview.
  • Process and send out weekly member cards.
  • Work closely with the Executive Director and Director of Development on strategy to increase annual membership program.
  • Assist Director of Development with grant proposals as needed.
  • Help execute fundraising/cultivation events.

VISITOR SERVICES MANAGER

POSITION OVERVIEW

Visitor Services Manager will oversee all administrative, managerial, and performance-based aspects of Visitor Services (“VS”) for HH&G. This includes management and execution of VS goals as they relate to the overall mission of HH&G as well as the functions of Operations & Facilities. The VS Manager will oversee VS Associates & volunteers, and be expected to proactively propose new ideas to improve and enhance the visitor experience. VS staff are responsible for directly facilitating a safe, educational and beneficial visitor experience and communicating the mission and history of HH&G.

30-40 hours a week.

ESSENTIAL FUNCTIONS

  • Organize and administer the overall operation of VS and Operations/Facilities, and oversee the VS, Operations/Facilities staff.
  • Oversee the organization and administration of the VS volunteer program.
  • Lead the daily operations of the admissions desk with a focus on customer service, organization and efficiency ensuring visitors are attended to professionally and promptly.
  • With Programs and Membership, develop and document all policies and procedures relevant to all VS operations in Altru. Ensure terminal set-up, reliable operability, maintenance and periodic updates to the admissions software and hardware to facilitate ticketing and reporting needs.
  • Schedule, train, and supervise VS Associates, ensuring adherence to admission procedures, outgoing information is current and accurate, daily register is balanced, check by Security and secured until the next business day when transmitted to the Finance Office.
  • Assemble and analyze daily data, and prepare and deliver reports, detailing VS activities, to the Executive Director, CFO, and other Highfield Directors.
  • Manage the recruiting and hiring of VS Associates.
  • Working closely with Membership Manager, develop and coordinate all job-specific training and on-going education programs for the VS Associates & volunteers. ) · Ensure that all VS Associates and volunteers maintain excellent visitor service standards.
  • Handle visitor concerns, comments, and complaints including managing and responding to patron’s complaints regarding any ticket or admissions issues.
  • Relate visitors concerns about pricing, experience, and exhibits, as needed, to the ED and other HH&G management staff.
  • Work with the Membership Manager to improve ticketing or admissions practices.
  • Assist any special interest groups/tours, in order to provide a unique on-site experience for a select number of visitors.

ADDITIONAL FUNCTIONS

  • Prepare periodic Committee/Executive-level reports, presentations, and/or agendas on budgeting, system performance, proposed improvements, and any necessary further analysis as needed.
  • Promote HH&G membership and encourage staff to sell memberships to visitors.
  • Attend meetings as requested.
  • Manage the ordering of supplies for the museum, including office and janitorial supplies.

QUALIFICATIONS/SKILLS REQUIREMENTS

  • A minimum of five years’ equivalent management experience in sales and or public customer/visitor service.
  • Comprehensive knowledge of Microsoft Word, Excel and donor database systems (Blackbaud/Altru).
  • Customer service experience at the mid- or senior management level.
  • Project management experience would be beneficial.
  • Ability to recognize the importance of responsibility, authority and accountability.
  • A willingness to work non-traditional hours, think independently, take initiative, and meet deadlines.
  • Strong written and oral communication skills, proficiency in mathematics, excellent attention to detail, exceedingly well-organized, conflict resolution ability, leadership, team-building and motivational skills, and a professional and flexible manner.
  • Ability to interact well with a wide range of people and personalities of all levels within and outside the HH&G.
  • Must adhere to a policy of strict confidentiality in terms of information regarding HH&G donors, members, and guests.
